You sell an engagement with several steps. Avsaro records what you agree, has the client sign and invoices in the instalments you intended.

A familiar situation

After an introductory meeting you write a proposal in a word processor. The approval arrives by email, sometimes vaguely. You then invoice in instalments that you have to remember yourself, and at the end of the quarter you work out which revenue belongs to which rate.

Where it chafes

An approval that is unclear

A yes in an email thread leaves room for discussion about what exactly was agreed. You want one version that the client has signed.

Remembering instalments

A six-month engagement with three instalment invoices means keeping track yourself of what is ready to send and when.

Hours and fixed amounts mixed together

Part of the work is fixed, part is billed by the hour. Setting that out cleanly in one quote takes effort.

An overview at the end of the quarter

Looking up revenue per client and the VAT on your sales takes an afternoon when everything is scattered.

The chain with Avsaro

Quotes and invoices for consultants and advisors

  1. Proposal as a quote

You place phases with a fixed amount next to hours times rate, with a validity period and, where relevant, a term and notice period.

  2. Approval with an evidence file

The client signs online and confirms with a code. The portal stores the approval with the time, details and a verifiable certificate.

  3. Deposit and instalments

After approval the deposit invoice is ready. Later invoices you create from the quote.

  4. Support as a subscription

A fixed monthly amount for coaching or availability carries on as a subscription.

  5. Reports

Revenue per client and sales VAT per quarter are in the reports, also as csv or pdf for your accountant.

Which features count

An example: Example: an organisational engagement

An imaginary consultant offers an engagement of three phases at 3,000 euros each excluding VAT, plus 12 hours of support at 125 euros an hour. The client signs, pays a 20 per cent deposit and then receives the instalments. After the engagement, the support continues at 400 euros a month.

This example is invented.

Questions

Can I combine hours and fixed amounts in one quote?

Yes. A quote line can be a fixed amount, hours times rate, a quantity times price or a recurring amount per month or year.

Is the approval legally valid?

Avsaro uses a simple electronic signature with an evidence file. Whether that suffices for your agreement depends on what you agree. If in doubt, ask a lawyer.

What about time tracking?

You put hours on a quote or invoice as a line with an hourly rate. You keep track of your hours in your own time-tracking tool.
