Frequently asked questions
The questions business owners ask us most often, with a direct answer. If something is missing, send a message through the contact form.
The product
Who is Avsaro for?
Avsaro is for business owners who send quotes and invoices to other businesses: freelancers and small companies such as web agencies, installers, advisers and creative studios. After a conversation you make a quote, your client signs online, you invoice, and recurring services such as hosting or maintenance run as a subscription. Your clients work with a personal link, with no account.
Is Avsaro an accounting package?
Avsaro is built for the sales side: quotes, signatures, invoices, subscriptions and reports on what you sell. Your bookkeeping stays where it belongs, in your accounting package or with your accountant: purchases, bank, input tax and the VAT return. Avsaro supplies the figures, with a csv file, a quarterly summary as a pdf and a copy of your invoices in the digital mailbox of Exact Online. The VAT overview adds up the VAT on your sales and is deliberately titled 'not a return'. See the explanation of reports.
Which languages does Avsaro work in?
You work in a Dutch-language environment. Quotes, invoices, client pages and emails to clients come in Dutch or English, and you choose per document which one you use. By default the language follows the client's country. An English invoice also comes with a Dutch version for your own records. Your terms are in the same language as the quote. Read more under branding and languages.
Can I use my own branding?
Yes. You add your logo for light and dark display, choose an accent colour from six colours that have all been tested for legibility, and adjust the texts: intro, footer, payment terms and terms and conditions. Your signature and company details appear on every document. That keeps quotes and client pages crisp and easy to read on a phone. For each email you can add a personal paragraph. All options are under branding and languages.
Is my client's signature valid?
Your client adds a simple electronic signature, drawn with a finger or mouse or typed as handwriting, and confirms with a six-digit code by email. Avsaro records an evidence file including name, time, the text that was shown and fingerprints of the quote. The signed pdf carries a certificate that lets anyone check on the verification page whether the document is genuine. For a quote and most business agreements the law is generally free of form. How much weight the evidence carries depends on the situation. Read the guide on the validity of a digital signature and ask a lawyer about a large contract.
Is there a demo?
Yes, in two ways. You try Avsaro yourself for 30 minutes in your own environment with sample data from an invented company, with a timer that shows the minutes left. After 30 minutes everything is deleted and no real emails or payments are sent. Or you request a call. You find both on the demo page. The site also has a tour with screens of the portal and a film with an explanation.
Integrations and payment
Which integrations and payment methods are there?
With Microsoft 365, Avsaro sends email from your own mailbox and copies documents to OneDrive. With Exact Online, a copy of your invoice goes to the digital mailbox of Exact. With Mollie, clients pay by iDEAL. Without Mollie, your client pays by bank transfer. You set up each integration yourself and each is optional, except Microsoft 365, because Avsaro sends mail through it. An overview with explanations is under Exact and OneDrive.
Do I have to use Mollie?
No. With Mollie, your client pays by iDEAL through a button on the invoice page, and the invoice then turns to paid by itself. Without Mollie, the invoice page and the pdf show the payment details with copy buttons: amount, IBAN, account name and reference. Your client transfers the amount and you record the payment with one click. You connect Mollie with your own account, in test mode first. Mollie charges an amount per transaction, which you pay to Mollie. Current rates are on mollie.com. Read more under invoices and payments.
I already use Exact or Moneybird. What now?
Then you keep your bookkeeping there. Avsaro is where quotes and invoices come about. With Exact Online, a copy of each invoice you choose goes as a pdf to the digital mailbox of your Exact environment, where Exact reads it in. If you use Moneybird or another package, Avsaro gives your accountant a csv file and a quarterly summary as a pdf, and we discuss an integration on request. Feel free to tell us which package you use.
Which accounting packages are supported?
Exact Online works through the digital mailbox: Avsaro emails the invoice as a pdf to the address Exact provides for it. For Moneybird, SnelStart, Twinfield, Yuki, e-Boekhouden, Jortt, Informer, Visma eAccounting and AFAS we discuss integrations on request. With every package you can already work well through the csv file and the quarterly summary. If your package is not listed, tell us which one you use through the contact form.
Can I connect several accounting packages at the same time?
No, one package at a time. That prevents double bookings and doubt about which package holds the right figures. At the moment the link is the copy to the digital mailbox of Exact Online. If you want to switch to another package, we do that together with you.
What if my package is not listed?
Then Avsaro still works, because a link with an accounting package is not a requirement. You export invoices, revenue, VAT, debtors and quotes as csv files and create a quarterly or annual summary as a pdf for your accountant. Most accountants work well with that. Tell us through the contact form which package you use and how you work now. That helps us decide which integration to look at next.
Do I need Microsoft 365?
Yes, for email and OneDrive. Avsaro sends quotes, invoices and reminders from a mailbox in Microsoft 365 and copies signed documents to OneDrive. The connection only sends from the sender's mailbox and does not read mail. We do the setup together: an app is needed in your Microsoft environment, with a certificate. The OneDrive copy is optional.
What are SPF, DKIM and DMARC, and does Assist2go help with them?
These are three settings of your domain that decide whether mail sent in your name actually reaches your client. SPF says which servers may send on your behalf, DKIM adds a digital signature to every email and DMARC decides what a recipient does with mail that does not match. Avsaro sends through your Microsoft 365 mailbox, so these settings need to be in order. Assist2go helps you with them, together with the Microsoft 365 part of the setup. Questions are always welcome at info@assist2go.nl or through the contact form.
Can my accountant look along?
Your accountant gets what they need without logging in. You export invoices, revenue, VAT, debtors, quotes, recurring revenue and payment behaviour as a csv file and you create a quarterly or yearly summary as a pdf. With Exact Online, each invoice you choose goes as a pdf to the digital mailbox, and your signed documents are stored as pdf in your OneDrive, in a folder per client and job.
Data and security
Where is my data stored?
On servers that Assist2go hosts and manages itself. Logging in is only possible with two-step verification and the access keys of your connections are stored encrypted. When you start, we put the agreements on storage and backups in writing with you. Read more on the security and privacy page.
What happens if I cancel, and can I take my data with me?
We put the arrangements on cancelling and on what happens to your data afterwards in the agreement. Yourself, you can export your invoices, revenue, VAT, debtors and quotes as a csv file, and your signed documents are stored as pdf in your OneDrive. Invoices and evidence are not deleted in Avsaro and are kept for at least 7 years. Ask your accountant what applies to you.
How do updates work?
Assist2go runs updates on your environment, at night whenever we can, so you do not notice them during the day. You do not need to install or download anything, because Avsaro runs in your browser. When you start, we put the agreements on maintenance and backups in writing with you.
Costs and agreements
What does Avsaro cost?
A one-time 995 euros for purchase and setup and then 150 euros per month, both excluding VAT. The monthly price includes hosting, management and about two hours of support per month. Unused hours do not roll over to the next month. Extra work, such as custom work, extra integrations or taking over existing data, we always agree with you beforehand, with an estimate, so you never face surprises. Third-party costs come separately: your Microsoft 365 licences and the cost per iDEAL payment charged by Mollie (rates are on mollie.com). Everything is on the pricing page.
How soon can I go live?
That mainly depends on how quickly your details are ready: your branding, your terms and conditions in the languages you use, your service catalogue and the integrations with Microsoft 365, Exact and Mollie. The sooner you provide them, the sooner you start. In the introduction we discuss what you need and agree the planning. You can read what the process looks like under how it works.
How does support work?
You reach us by email and through the contact form, and you go straight to Assist2go, the company that built and manages Avsaro. About two hours of support per month are included in the price: help with questions about using it, an integration that does not work or restoring your access. What else you can expect, we put in the agreement beforehand. You find the form on the contact page.
